Event Requirements
Vendor Requirements
All Vendors must comply with all applicable federal, state, and local laws, regulations, permits, and licensing requirements.
Required Documentation
- Current business license
- Food-safety certification/permit, if applicable
- Any additional permits or certifications required for the products or services being offered
Food Vendors
- Food Vendors must comply with all applicable West Virginia and Jefferson County food-safety requirements.
- Food Vendors preparing or serving food must provide and maintain any required handwashing and sanitation equipment and are responsible for keeping their area clean and sanitary.

Vendor Space & Parking
- Vendor spaces will be assigned by the Event.
- Vendors will receive their assigned location prior to the Event.
- Vendors must check in with the Event Manager upon arrival.
- Vendors must unload in their assigned area and then move vehicles to designated Vendor parking.
- Vendor vehicles may not remain in the sales area unless specifically approved by Event Management.
Vendor Equipment
Vendors are responsible for providing all equipment necessary to operate their space, including:
- Tent, canopy, or umbrella, if desired
- Tables and chairs
- Displays and signage
- Generator, if electricity is required
- Any other equipment necessary for their operation
Tent & Canopy Safety
- All tents, canopies, umbrellas, signs, and displays must be properly secured and may not create a safety or tripping hazard.
- Canopies must have adequate weight or anchoring on each leg appropriate for the conditions.
- All securing equipment must be safely attached and remain within the Vendor's assigned space.
- Vendors are responsible for any injury or property damage caused by their equipment.
Electricity
- Electricity is available in select areas and may be purchased through the designated app
- Vendors may use their own approved generator, provided it is operated safely and in compliance with all applicable fire and safety requirements.
Fire & Safety
- Vendors are responsible for complying with all applicable fire and safety requirements.
- Food Vendors using cooking equipment must provide any required fire extinguishers and maintain required clearances from structures, equipment, and other Vendors.
- All Vendors must immediately correct any condition that creates a safety hazard.
Prohibited Items & Activities prohibited within the Vendor/Event area:
- Firearms or weapons- ***We will have ranges open for shooting/donations.
- Firearms Policy
- For the safety of all guests, firearms may not be carried or displayed within the general event area, regardless of whether they are openly or concealed carried.
- Firearms are permitted only for participation in authorized range activities and must remain properly secured and/or cased while being transported directly to and from the designated range area.
- All firearms used on the ranges are subject to Summit Point Training Facility range rules and the direction of authorized range personnel. Handling, loading, unloading, or displaying firearms outside of designated range areas is prohibited.
- Please follow all posted signage and instructions from Summit Point Training Facility staff while on property.
- Firearms Policy
- Illegal drugs or controlled substances
- Fireworks or explosive devices
- Smoking in restricted Event areas
- Animals in Vendor spaces, except legally recognized service animals
- Amplified music or other activity that has not been approved by Event Management
- Any activity that creates an unsafe condition or violates applicable law or Event requirements
Vendor Conduct, Attendance & Departure
Vendors are expected to conduct themselves in a professional and courteous manner and remain operational through the scheduled Event closing time.
Vendors must:
- Maintain a clean and orderly space.
- Clearly display products and prices.
- Remain within their assigned space while conducting business.
- Supervise all minors they are responsible for and may not allow any children under 16 years old to wander the Event area without a parent or guardian
- Avoid activities that interfere with other Vendors, customers, or Event operations.
- Properly dispose of all Vendor-generated waste.
- Remove all merchandise, equipment, and waste at the conclusion of the Event.
- Leave their assigned space clean and free of debris.
- Follow Event Management instructions for vehicle access and departure.
- Be completely out of the Event area within one hour of Event closing.
Event Schedule
Event Date: Sunday, November 8, 2026
Event Hours: 9:00 AM – 5:00 PM
The Event will take place rain, snow, or shine unless Event Management determines that conditions are unsafe.
Vendor Load-In begins at 7:00 AM.
All Vendors must be in their assigned space, fully set up, and ready to operate by 8:30 AM.
Vendors who are not in their assigned space and ready to operate by 8:30 AM may forfeit their space without a refund.
Check-In Upon arrival, Vendors must check in with the Event Manager.

Non-Compliance
Failure to comply with these requirements, applicable laws, or Event Management instructions may result in:
- Immediate correction of the violation
- Suspension of Vendor activities
- Removal from the Event
- No refund of Vendor fees
Event Management may require immediate correction or removal of any condition that presents a risk to customers, Vendors, employees, or Event property.
Vendor Acknowledgment
By submitting a Vendor application, the Vendor acknowledges that they have read, understand, and agree:
- To comply with these requirements and all applicable federal, state, and local laws and regulations.
- Obtain and maintain all required licenses, permits, certifications, insurance, and other approvals
- Questions regarding Vendor requirements should be directed to the Event Manager prior to the Event.
- Vendors are solely responsible for any injury to persons or damage to property caused by Vendor’s equipment.
