About this event

The Board of Directors of the BMW CCA request your presence at a mandatory meeting to discuss the Future of the Club. After ten years of membership stagnation, 2017 resulted in a steep decline in membership and revenue. In an effort to achieve our strategic plan, improve the Club, the Membership experience and all that we do, the Board is launching our strategic initiative, BMW CCA...The Next 50 Years.

The National Organization will pay for the Chapter President, or designated alternate board member, to attend this meeting. Covered expenses will include up to 2 nights at the host hotel, group provided meals and a maximum of $500 in travel expenses. Travel should be in accordance with the travel policy located within the Ops Manual.

Additional officers can attend at the Chapter's expense.  Expenses in excess of the travel policy or the above mentioned travel limit will be deducted from chapter rebates. 

The meeting will start at 8:30 on Saturday, August 4 and run until afternoon.  Dinner will be provided Friday and Saturday evenings at the hotel, but are not required when planning your travel arrangements.

  • BMW CCA will provide travel (based upon reimbursements levels published by the club office), meals and lodging.
  • BMW CCA will not provide reimbursement for mileage to the airport, meals en route, or other incidental travel expenses (including baggage fees).
  • Attendees may request reimbursement for non-covered expenses from their chapter however BMW CCA does not set local chapter expense policy.
  • Chapters are welcome to invite other officers at their own expense. Chapters may request those expenses to be withheld from their Chapter rebate.

Transportation, hotel and conference meals onsite are provided by BMW CCA. Any authorized attendee who drives to the conference will be reimbursed at a rate of $0.535 per mile round trip (not to exceed the published airfare for your area.). Each attendee must let the National Office if they will be sharing a room.

Flight reservations must be made online through our travel website per BMW CCA guidelines.The lowest available twenty-one (21-) day advance purchase airfare.
A credit card will be needed to secure reservation. Fare will be paid by BMW CCA directly. Link to the reservation website will be in your confirmation.

Additional rooms are $136.85/night

Charges will be accepted at the National Office, not at registration. Please call 864-250-0022 x225 to arrange payment.

Reminder: Hotel fees are being paid by National except for chapters requiring an additional room. You will need a credit card to cover incidentals.
The National office will make all reservations regardless who is paying.
DO NOT RESERVE A ROOM ON YOUR OWN.

 

Event requirements

4.1.2.1    Transportation.

4.1.2.1.1    Air Transportation.  Travelers will be reimbursed up to the amount of the lowest available twenty-one- (21-) day advance purchase airfare.  Receipts for airfare are required.  This does not mean that the traveler must book a flight at extremely inconvenient times or with multiple unnecessary stops just to get the lowest possible airfare.  However, travelers are required to use good judgment and accept some latitude in scheduling flights so as to keep travel costs as low as practicable.  If in doubt, travelers should consult with the Executive Director prior to booking the flight.  If last minute travel is required, a special approval is needed from the Executive Director.  Excess baggage fees may be reimbursed if the excess baggage is directly related to Club business.  In-flight beverage costs are not reimbursable.  In flight meal costs are reimbursable under the provisions of Paragraph 4.1.2.2 covering Meals.

4.1.2.1.2    Ground Transportation.  Travelers will be reimbursed for travel to and from the departure and destination airports, and to and from meal locations at the destination, unless a free shuttle service is available or unless BMW CCA arranges and pays for ground transportation.  Reimbursement is limited to reasonable cost of the available options, such as personal vehicle, taxi, limousine or shuttle bus.  The traveler should make every effort, within reason, to use the most practical and cost-effective conveyance.  If the traveler uses their personal vehicle; for example, to drive to the departure airport, they can be reimbursed the current IRS mileage rate, as established by the Executive Director, plus parking at the airport’s most economical parking facility.

5.3 TRAVEL BY CHAPTER REPRESENTATIVES TO NATIONAL CONFERENCES
BMW CCA will reimburse authorized Chapter representatives attending National BMW CCA Congresses and Conferences for reasonable travel expenses as specified by the Board.  Only those Chapter representatives expressly authorized by BMW CCA will be reimbursed.  Additional or unauthorized representatives are the responsibility of the Chapter or the individual.  The Chapter must be in compliance with minimum standards in order for their representatives to be authorized to attend the listed events.

 

Additional attendees must have approval of your chapter president and have an active BMW CCA membership to attend.

Please, one registration per person.

You are responsible for any canceled flights.

You are responsible for all room charges if you do not cancel prior to the event..
