Event Requirements

Registration Closed: Wed Jun 24, 2009 8:00P (Eastern time)

First 10 days of registration 5/18-5/28 are reserved for current Tarheel Chapter members only,  We verify membership with National prior to confirmation. On 5/29 registration opens to the other current BMW CCA chapter members on a first received basis. We support ITS training for instructors as approved by the BMW CCA.

 NO TIMING EQUIPMENT ALLOWED. Do not ask for exceptions, our HPDS Insurance prohibits it.  Please check www.tarheelbmwcca.org  under HPDS Insurance to read the latest information on what is covered by the BMW CCA Insurance.  Hint: Do not ask your agent if you are covered; rather ask for all exclusions in writing.  The provided BMW CCA Insurance is for LIABILITY and is very good.  We, as organizers strive to comply with the BMW CCA HPDS guidelines and to be diligent in enforcing the policies. This gives the best opportunity to successfully defend any lawsuit (heaven forbid) occurring out of our HPDS. Your cooperation enables us to maintain reasonable insurance costs to the chapter and keeps our price of the events competitive.  You as waiver signed participants are covered for liability ensuing from your participation in this event. You must understand that you are not protected by this policy for collision.  This is a gentleman's sport.  You are responsible for your vehicle and that of anyone else involved with you in a collision at the event.  Private insurace policies may not cover at a "racing surface" based school.  READ your exclusions.
 

  • All cars must be tech inspected and Tech Sheet completed prior to registration. It is your responsibility to ensure that your car is safe. 
  • A Snell-rated helmet (with sticker) is mandatory! Both SA and M rated SNELL '00 or newer helmets are allowed.
  • Equal restraints are required for driver and passenger. This applies to student cars and instructor cars.
  • Instructors: working communicator is essential for good communication. In the case of medical reasons why you can't use the ear pieces, use the microphone and your student can wear the earpieces. He/she can hear you, you can't hear him over the intercom.  Not ideal, but better than shouting.
  • Long sleeve shirts and long pants are required. All cars must have front passenger seat. NO EXCEPTIONS!
  • Requirements for participation in a convertible or open-top car are based on BMW CCA guidelines and may be found on our website: www.tarheelbmwcca.org
  • Negotiated motel rates are POSTED ON THE www.tarheelbmwcca.org SITE. This motel will be the headquarters for registration on Friday evening. Be sure to request the BMW CCA Tarheel negotiated rate.
  • Instructor Registration is Friday at the track or Friday night at the Headquarters Motel, The arm band is placed on your arm at registration when you sign the waiver, and is your pass through the VIR entrance gates. This facilitates track access in the mornings. The armband is required for entrance onto the track.
  • Note that signing the waiver enrolls you in the Liability Insturance protection purchased through BMW CCA for this event.
  • The event will be held rain or shine. However, the club may cancel or close down the event if the track or weather conditions pose an inordinate safety concern for the participants. The decision is that of the Chief Instructor and Event Coordinator.
  • Instructors Note: If you are a recognized instructor for Tarheel Chapter do not sign up as a "BMW CCA Member", doing so puts you in the student pool.  If you are not presented with access to the instructor available sign-up, and you have instructed with Tarheel Chapter BMW before, contact the Tarheel Chief Instructor ,  Bob Blood rblood@yahoo.com or school coordinator, JoElla John jjohnmcoupe@aol.com  and request to be flagged as a "Recognized Instructor".  If you were already flagged as instructor by the CI, you should have been directed to the Instructors only sign up. Once you are on the "Recognized Instructor" list,  select the Fri/Sat/Sun or the Sat/Sun option and continue. Yes, it is necessary to complete all of the information requested in the forms. From them we will generate our school management paperwork. Under experience, Instructors may list , "Taught for X years from xxxx to 2007 with the last two years listing specific events with identified chapters.   Fill in T-shirt size and car & car color. Bring a CAR WITH TWO SEATS suitable for giving rides and a WORKING COMMUNICATOR.   • BMW CCA guest instructors belonging to chapters other than Tarheel, who have instructed with us in the immediate past, may register starting May 18th.  Your online registration is time-stamped when you sign up online. The instructor fee for Friday is $110 for instructors who are instructing Saturday and Sunday. Please do not pay on line. We will accept checks or cash at the Friday AM registration at the track. No instructor may attend Friday if you are not instructing Sat. & Sun.  Our policy is that instructors will have A & C or B & D students to facilitate time for pre-track communication and post-track debriefing. STUDENTS, for selecting your run group preference, use the following guidelines.  All run groups receive HPDS instruction/coaching provided by in-car instructors as well as ample classroom instruction - VIR North Course. 
 

  • A STUDENTS: Experience 19 or more schools; completed B with recommendation of Instructor to move to A.
     
  • B STUDENTS: Experience 13 or more schools; completed C with recommendation of Instructor to move to B.
     
  • C STUDENTS: Experience 6 or more schools; completed D with recommendation of Instructor to move to C.
     
  • D STUDENTS: Experience 0-6 schools; HPDS will be provided by in-car instructors- VIR North Course, who will instruct to your individual needs & level. There are 4 run groups/4 sessions daily & classroom. Read all of the confirmation packet prior to arrival. Have fun.

Your run group preference is only that, note we reserve the right to reassign as necessary.

BMW CCA - Tarheel Chapter is offering a separate cancellation policy directly: Students: You may cancel by using the new self-cancellation feature that lets attendees toggle their account into cancellation status and timestamp their account. This prevents he-said, she-said arguments over when someone canceled. To be polite also email JoElla. The timestamp is added to the private note letting organizers apply whatever refund policy is appropriate. If your cancellation was done PRIOR to June 20, You will get back the school fee less $50.00 handling, after the event has closed and data can be processed. Cancellations after June 20, 2008 will not be refunded. Instructors: please do not cancel after 10 days prior to the event. You may also cancel using the student method above. Also email JoElla. No Shows will be dropped to the bottom of our approved list. Do NOT pay on-line, we will collect at on site registration. Bring a check for $100.00 made payable to TARHEEL CHAPTER BMW CCA for INSTRUCTOR DAY. Thank you for being available to instruct for Tarheel Chapter on the North Course.
