Surveys and Elections

Premium plan customers may create surveys or hold club elections through Elections are special versions of surveys that guarantee anonymous, aggregated results for a secret ballot.


Our survey and election feature is built upon our Club Questions and Event Questions to collect responses to your requirements. Different answer types, required or optional, public or private results and a maximum response limit are all possible to support your common data collection needs.

Basic Survey

A survey is simply one or more questions you ask of people in your member database. There are several options available:

Like events, each survey is hidden until the Visible flag is set to yes. At that time it will be listed on your landing page and it will accept responses between the start and end dates.

Adding Questions

Questions follow the same general format as club questions with a few additional options.

Question Types

When determining what type of question to ask, select the format that matches your desired output. For all questions, you may provide a list of fixed answers to facilitate collecting responses in a standardized fashion. Instead of free-form answers, respondees will select an option from a drop-down list or group of checkboxes.


Yes/No questions return a "1" for yes and a "0" for no. (e.g.: This is my first DE).


Numeric values only (no $'s or commas or decimal points. (e.g.: how many DE's have you participated in this year?)


Date format is mm/dd/yyyy. The date can be entered by keying it in or by clicking on the calendar to select a date. (ie: When did you receive your National Level License?)


Answer can be mixed characters, symbols and numbers. Up to 255 total characters are allowed. Best used when some detail/explanation is necessary, but you want to limit the amount. (What was the main thing you learned from the event?)

Essay/Comment Box

Answer can be mixed characters, symbols and numbers. Up to 2000 total characters are allowed. Best used when the amount of detail/explanation to be provided is open-ended. (For a driver bio for and event’s media guide).

Likert Scale

Use this format when you are trying to determine respondents’ attitudes or feelings about something. The Likert scale allows respondents to identify their feeling about your statement along a spectrum (1 = strongly disagree to 5 = strongly agree). (ie: This was a very well-run event).

NOTE: On the results, the number of responses appears along the vertical axis of the grid and the value of the responses appear along the horizontal axis of the grid.

Reordering Questions

Once you have multiple questions, from the survey page above the questions can be reordered by drag and drop. Drag them by clicking and holding on the left handle (the icon with the up/down arrow) and then move them into the desired order.

Restricting to members

Surveys have three possible validation options:

  1. Allow anyone with a profile in your member database to respond
  2. Allow only approved members in your parent organization
  3. Allow only approved members in your organization

How do the last two differ?

For organizations with National offices like BMW CCA, PCA, SCCA and Audi Club, option 2 refers to anyone with a valid National membership where option 3 would check for a valid chapter or region membership.

This is closely linked to our membership verification feature. SCCA National provides an API that allows us to check if a particular member belongs to the club at large or to a particular region.

For non-SCCA organizations who must upload a CSV file (at present), options 2 and 3 are in practice the same as there is no differentiation between chapter and national organization.

Viewing Results

For surveys, the results can be viewed by clicking the link in the left column while editing the survey:

You can also download the raw data. For elections, the results will be locked until the end of the election as set before locked. The results will also only be available in aggregate to protect the secret ballot.

Promoting Surveys

The survey will automatically appear on your landing page once visible but you can also use the direct link, just like with events, to send people directly to it.

Elections vs. Surveys

Changing a survey into an election is as simple as setting the "Locked" field and saving the survey which will show the following prompt:

Once saved, the following attributes will no longer be editable by the organizer:

  • End date
  • Locked flag

The results are not visible until after the end date for an election.
