Adding or Importing Members

The member database is under your control at all times and this includes creating new accounts from scratch. These accounts can be used as "placeholders" for attendees who've registered outside of MotorsportReg.com, or they can be full-fledged user accounts that the attendee can use for future event registrations.

Adding Members

To create a new member in the database, clicking the "Add Member" link from Members will give you this form:

The First Name, Last Name, and Member Status fields are required and email address is highly encouraged to prevent duplicate accounts from being created. In the event that an account already exists in the system with the provided email address, that account will be imported into the club instead of a duplicate account being created.

If you are adding this person (such as an offline entry) to an event, you can create their account and register for them at the same time using the Add Attendee feature.

Promoting Members

When an account exists in the master MotorsportReg.com database but not in an organization-specific member database, administrators can "promote" these accounts provided they know the email address associated with the account.

Clicking the same Add New Member link from the Members menu, enter just the first name, last name and email address. In the event that an account already exists in the system with the provided email address, that account will be imported into the club instead of a duplicate account being created.

Note: once a new account is created, a username must be assigned before it can be used to log in. Edit the account and provide a username and the MotorsportReg.com system will automatically generate a password reset email and send it to the listed email address.

Once created, new accounts can be edited in the normal fashion to enter vehicle details, etc.

Importing Members

New organizations often ask if they can import their existing database or spreadsheet of information. This is possible but requires custom coding to import your data in whatever format it is in to our relational database format. This is generally a non-trivial amount of work and suffers from three problems:

  1. Imported data and contact information is out of date
  2. Imported data is incomplete compared to what we collect
  3. Many of the to-be-imported people already have accounts on MotorsportReg.com

Compared to a fresh signup with current contact information and email address, these issues make importing less useful than it at first appears. If still required, we can handle imports of your data for a fee. Contact us for details.
